  • Student Information: name, age, emergency contact, allergies, medical notes (if voluntarily provided), and artwork created in class.
  • Parent/Guardian Information: name, address, phone number, email, and payment details.
  • Staff Information: resumes, references, payroll data, and emergency contacts.
  • Media & Artwork: photos or videos of students and their artwork (only with prior written consent).
  • Website & Social Media: anonymous website analytics (cookies, traffic data) and voluntary contact form submissions.

3. How We Use Personal Information

We use collected information for the following purposes:

  • To register students and manage classes or programs.
  • To communicate schedules, invoices, and updates with parents or guardians.
  • To ensure student safety and respond to emergencies.
  • To process staff employment and payroll.
  • To promote our programs (only when media consent has been provided).
  • To comply with legal or regulatory requirements.

4. Consent

We obtain consent at the time information is collected. Consent may be written, verbal, or implied, depending on the situation.

  • Parents/guardians provide consent for their child’s participation and information use.
  • Media consent (photos, videos, artwork displayed online) is always optional and may be withdrawn at any time.
  • Staff members provide consent as part of their employment documentation.

5. Information Storage and Security

We take reasonable steps to safeguard all personal information against loss, theft, unauthorized access, disclosure, or modification.

  • Physical student folders are stored in a secure, locked office.
  • Digital files (e.g., registration forms, payment records) are stored on password-protected devices and cloud systems with encryption.
  • Only authorized staff members have access to personal information.
  • We retain records only as long as necessary for program, legal, or accounting purposes.

6. Disclosure of Personal Information

We do not sell, rent, or trade personal information. Information may be shared only in the following limited cases:

  • With parent/guardian consent.
  • With service providers who assist with class registration or payment processing (bound by confidentiality).
  • When required by law, court order, or authorized government agency.
  • In emergencies involving safety or medical concerns.

7. Access and Correction

Parents, guardians, or staff may request access to review or correct their personal information at any time by contacting the Privacy Officer (see Section 10). Requests will be handled promptly in accordance with PIPEDA guidelines.

8. Website and Cookies

Our website may use cookies and analytics tools (such as Google Analytics) to improve user experience. These tools collect non-identifiable data such as IP addresses and browsing behavior. Users may disable cookies through their browser settings.

9. Retention and Disposal

Personal information is retained only as long as necessary to fulfill its purpose and to meet legal requirements. When no longer needed, it will be securely deleted, shredded, or permanently erased.
